We are currently seeking an Office Assistant to join our client, a global professional services firm based in the heart of Sydney CBD.

This is an excellent opportunity to be part of a stable, friendly, and supportive team. The office environment is small, collaborative, and light-hearted, with a strong focus on professionalism and teamwork.

In this role, you will be responsible for ensuring the smooth day-to-day operations of the office. You will need to have excellent attention to detail, be proficient with all Office Software, and be proactive in managing tasks independently.

Since the role is primarily focused on office operations, it will require you to be in the office full-time. Additionally, you will be stationed at the front desk, so we are looking for someone with strong customer service skills who is polite, well -presented, and approachable.

Key Responsibilities :

Front-of-house duties: Welcoming guests, students, and staff with professionalism
Supplier management and equipment procurement
Providing basic IT support and liaising with external IT providers to resolve issues
Collaborating with various departments to ensure smooth office operations
Monitoring and ordering stationery and kitchen supplies
Managing office furniture and equipment, including ordering and maintenance
Maintaining asset and key registers
Assisting with new starter setups and onboarding
Supporting office systems and procedures
Providing general team support and administration
Formatting documents and updating templates
Maintaining and updating client organization charts
Managing team calendars and scheduling
Arranging travel for staff and management
Providing backup reception support as needed
Sorting and acting incoming mail
Coordinating with contractors as required
Managing car park spaces for students
Assisting the Director of Operations with administrative tasks
Supporting the accounting team with invoice processing

Key Requirements:

Minimum of 3 years of experience in a similar role
Strong communication and interpersonal skills
Excellent organizational abilities with a proactive, "can-do" attitude
A team player who enjoys being the go-to person within the office
